Keep the stay price and arrival requirement apart
Signature has a resort fee in its booking terms and a separate security deposit at check-in. Platinum has complimentary self-parking alongside a nightly resort fee plus tax. Put charges, inclusions and arrival requirements on separate lines.
Record what the terms actually require
Write down whether the selected terms describe a charge, collected deposit or authorization, along with accepted payment methods and cancellation deadlines. If access to the funds affects your trip, clarify release timing with the hotel and your payment provider before booking.
Keep two separate notes before booking
Make one note for the stay price and another for the money the hotel says it will collect or authorize at arrival. Use the exact terms in your selected rate and the property’s current policy. A line called a resort fee, a prepaid deposit and an incidental authorization should each have its own entry. Do not combine them into a single estimate labeled “extras.”
Start with the hotel shortlist, then open the official property page for the room and dates you actually intend to book. Record the party size, number of nights, room category and cancellation terms beside the quote. This makes the comparison useful when one rate includes something that another lists separately. Our comparison guide deals with room and location choices; this worksheet deals with the terms attached to the choice.
Write down the stay price
Copy the quoted total and its stated inclusions into a private booking note. Underneath it, list any mandatory charge the booking page says is payable later. Record taxes separately if they are separately presented. Mark each line “included,” “additional” or “not clear,” using the confirmation rather than an assumption about the hotel’s name or category.
Next, list the services you intend to use. Parking, breakfast, an extra bed or a pet may matter to your comparison; leave a service off the total only when you do not plan to use it or the selected terms explicitly include it. Keep optional spending apart from mandatory charges. Do not count an advertised amenity as a saving unless you would otherwise pay for it.
If a total cannot be reconciled, resolve that gap before choosing the rate. Save the selected terms and confirmation with their date. A screenshot of a headline price alone will not tell you which room, party or cancellation conditions you compared.
Record the arrival policy without guessing
In the second note, enter the property’s stated payment and incidental requirements. Capture whether it describes an authorization or a collected deposit, how it calculates the amount, which payment methods it accepts and whose name must appear on the reservation and payment card. Leave an unanswered field blank and ask the property to clarify it before payment.
Keep a release-time statement separate from a promise that money will be usable on a particular date. If access to those funds matters to your trip, obtain the hotel’s current explanation and your payment provider’s explanation for your own card. Plan around the timeframe that applies to your own card and stay.
At arrival, compare the amount presented with the policy you saved. Keep the receipt and note any explanation for a difference. At departure, request an itemized folio and compare the actual charges with your first note. Investigate an unfamiliar line with the hotel using its description and date.
Compare the booking channel as well as the room
Check who collects each payment, who can change the reservation and which cancellation deadline applies. Record any benefit only when it appears in your selected rate. An owner-managed rental, hotel-direct reservation and third-party hotel booking should not be treated as interchangeable simply because the building name matches.
Use the fees and planning hub to keep this worksheet beside your room decision. The practical finish is a booking note you can read in one minute: selected room, stay total, later mandatory charges, arrival requirement and cancellation deadline. That note is more useful than a claimed citywide fee average.
